Q & A with Kallie Moulton

Before adding a Brivity Virtual Assistants, what was your biggest challenge?

My biggest challenge was finding time to work on projects related to growing our business. Outside of sales, I was doing everything to keep the team running smoothly and we knew it wasn’t sustainable.

Before working with Brivity Virtual Assistants, we initially tried hiring a part-time assistant, but it didn’t work out. One of the team partners had previously used a real estate virtual assistant with success, and we decided to try Brivity Virtual Assistants.

Can you describe the process of hiring your Brivity Virtual Assistants?

Overall the process of hiring a real estate virtual assistant was easy. Our goal was to find someone that could handle our marketing and social media, but at the same time could also help with managing our CRM. Once we identified our primary needs, we worked closely with the Brivity VA team to find candidates who matched those skills.

The interview process was straightforward. We reviewed several candidates’ portfolios and selected a few for interviews. Gwen, the Brivity Virtual Assistant we ended up selecting, offered strong attention to detail along with a social graphic design background.

Gwen came to the interview prepared and had done her homework, which left a great impression on us. She took the time to research our social media and shared her thoughts and ideas on what we were currently doing and how we might be able to improve.

How was the onboarding and training process for your Brivity Virtual Assistant?

I was excited to finally have someone to help me, but at the same time the process was daunting due to the amount of time it would take and getting behind on other day-to-day responsibilities.

However, our Brivity Virtual Assistant was already familiar with a lot of the platforms we were using, which made the training process faster and easier.

I didn’t have a ton of time to train someone to help me. So for my VA to hit the ground running with Brivity training and experience under her belt was helpful and removed a tremendous amount of stress.

Now that you have a Brivity Virtual Assisant on staff, what are you able to accomplish?

With a Brivity Virtual Assistant who hit the ground running, I was finally able to take some time to step back to look at processes and build a solid foundation for the future. Having Gwen onboard allowed me to really focus on systems and play a larger role in onboarding and training. With my time finally freed up, I can easily shift gears to help our business, plus I’m not working until eight o’clock every night!

How would you describe your partnership with your Brivity Virtual Assisant?

My partnership with our real estate virtual assistant is great. I’m her primary point of contact and we communicate mostly over Whatsapp, and then I coordinate with our team from there.

Gwen is super hard-working, self-motivated, and I have a lot of trust in what she does for our team. I know that I can ask her to do something and she will get it done in a short amount of time. And if her workload is ever low, she takes the initiative to find other projects on her own or research how we can improve our marketing.

One of the other reasons our partnership has worked out so well is because Gwen and I share similar learning and problem solving skills. If she doesn’t know how to do something, she’ll take the time to figure it out and ask questions along the way. She never says, “I can’t do that,” but instead says, “I don’t know, but I’ll figure it out.” That go-getter mentality is key to helping us build and grow our team.

What would you say to someone who is considering adding a Brivity Virtual Assistant?

Brivity Virtual Assistants is a no-brainer. To have someone you can just plug into your business that is already using the Brivity Platform – It doesn’t get much simpler than that.

The most daunting thing for me – and I think for most real estate agents – is the idea of having to train someone on the systems. To be able to quickly add someone who’s ready to go is invaluable.
